Privacy Policy
This page describes how Hire N Ride ("we", "us", or "our") collects, uses, discloses, and protects personal information. Choose a section below for customer or host privacy policies.
1. Customer Privacy policy
How Hire N Ride collects, uses, and protects personal information for customers booking rentals.
Last Updated: 4 September 2026
This policy is for customers who rent a self-drive car, bike, or scooty through Hire N Ride, and for anyone who browses our website (www.hirenride.com) or the Hire N Ride customer app. If you list a vehicle on our platform, please read our separate Host Privacy Policy.
Hire N Ride is based in Mohali, Punjab, India. We promise honest pricing with no hidden fees, and we apply the same honesty to your personal information. This policy explains, in plain language, what we collect, why, who we share it with and what choices you have.
1. Information we collect
We only collect what we need to get you safely on the road and to meet our legal duties.
Information you give us
Account and contact details
- Your name, mobile number and email address
- Your profile photo, if you choose to add one
- Your login details (your password is stored in encrypted form — we never see it)
Identity and driving documents (for KYC) Every renter is verified before booking. Depending on who you are, we collect:
- Indian residents: a valid driving licence — two-wheeler (MCWG or MCWGR) or four-wheeler, depending on what you rent. We may verify it through DigiLocker or a similar government-backed service. If further verification is needed, we may ask for a government photo ID such as Aadhaar, PAN or Voter ID.
- International travellers and NRIs: your passport, your home-country driving licence and an International Driving Permit (IDP) valid in India.
- Your date of birth, so we can confirm you meet the minimum age (18 for bikes and scooties, 21 for cars) and that your licence is old enough (6 months for two-wheelers, 1 year for cars).
Booking details
- The vehicle, dates, pickup or delivery location and any add-ons (such as an extra helmet)
- Your hotel, home, airport or station address if you ask for doorstep delivery
- Photos of the vehicle at handover and return, which may include you or your surroundings
Payment information
- Payment method (UPI, net banking, card) and transaction records for rentals, partial payments and refundable security deposits
- Bank or UPI details needed to refund your deposit
- We do not store your full card number, CVV or UPI PIN. Payments are handled by licensed payment gateways (see Section 3).
Messages, feedback and reviews
- Anything you share through in-app chat, WhatsApp, email, phone or the contact form
- Reviews you post about your rental, which may be shown publicly with your first name
Information we collect automatically
Location data
- With your permission, your device location — to show vehicles near you, guide you to the pickup point and enable doorstep delivery
- Vehicle location during your rental. Many vehicles on our platform have GPS trackers so hosts know where their vehicle is during a trip. This is used for safety, recovering vehicles and resolving disputes — not for tracking you after your trip ends.
Device and usage data
- Device type, operating system, app version, browser, IP address and approximate region
- How you use the website and app: pages viewed, searches, taps, time spent and crash reports
- Cookies and similar tools (see Section 6)
Information from others
- Verification results from DigiLocker, government databases or KYC partners confirming your documents are valid
- Payment confirmations from our payment gateways
- Basic profile details if you sign in with Google or Apple
2. How we use your information
To run your booking
- Confirm your reservation, share pickup details, arrange delivery and process returns
- Connect you with your host so you can coordinate the handover
To verify who you are
- Check your licence, ID and (for international travellers) passport and IDP so that only licensed, eligible drivers get on the road
- Confirm you meet the minimum age and licence-age requirements
- Give hosts confidence that every renter has been checked
To handle payments
- Take payment for rentals and security deposits
- Refund deposits within 24 hours of trip completion (it may take 5–7 working days to reach your bank or UPI account)
- Detect and prevent fraud
To support you
- Answer questions over chat, WhatsApp, email and phone, 24/7
- Provide roadside help and respond to breakdowns, accidents or emergencies during your rental
- Resolve disputes with hosts, including damage claims and traffic challans
To keep the platform safe
- Track vehicle location during rentals for safety and theft prevention
- Investigate misuse, accidents, damage or breaches of our Terms & Conditions
- Meet legal, tax and insurance requirements
To improve Hire N Ride
- Understand which features and locations people use, fix bugs and make the app faster
- Send you booking updates, receipts and important service notices
To tell you about offers (only if you want)
- Send promotions, new-location announcements and travel tips by email, SMS, WhatsApp or push notification. You can opt out at any time (see Section 5).
We do not sell your personal information to anyone.
3. Who we share your information with
Your vehicle host When you book, the host can see your name, phone number, profile photo, booking details and confirmation that your KYC is complete — enough to hand over the vehicle and reach you during your trip. Hosts do not receive copies of your licence, passport or ID documents unless required for a police complaint, insurance claim or legal process.
Payment gateways We use RBI-authorised payment gateways to process UPI, net banking and card payments. They receive only what is needed to complete the transaction and follow their own privacy policies.
KYC and verification partners DigiLocker and other government-approved services receive your document details only to confirm they are genuine.
Service providers who work for us Companies that help with cloud hosting, SMS and email delivery, chat support, analytics, crash reporting and GPS tracking. They may only use your data to do the work we hire them for and must keep it secure.
Insurance companies If there is an accident, theft or damage claim, we share the details needed to process it.
Referral partners (only if you use them) If you use our hotel, Volvo bus or restaurant referral services, we share your name and contact details with that partner so they can serve you.
Police, courts and government authorities When Indian law requires it — for example, a court order, a police investigation, a traffic challan or a lawful request from a government authority.
Business changes If Hire N Ride is merged with or acquired by another company, your information may be transferred as part of that deal. We will tell you before it happens.
4. How we keep your information safe
- Encryption: Your data is encrypted while travelling between your device and our servers (HTTPS/TLS) and while stored.
- Restricted access: Only team members who need your information to do their job can access it, under confidentiality obligations.
- Secure payments: We never store full card numbers, CVVs or UPI PINs. Payments go through PCI-DSS compliant gateways.
- Document protection: KYC documents sit in secure, access-controlled storage and are not visible to hosts or other users.
- Monitoring: We watch for unusual activity and fix security issues promptly.
- ISO-certified processes: Our operations follow ISO-certified quality and security practices.
No online service can promise 100% security. If we discover a data breach that affects you, we will inform you and the relevant authorities as required by law, and tell you what you can do to protect yourself.
Your part: Keep your password private, never share OTPs with anyone (including people claiming to be from Hire N Ride) and log out on shared devices.
5. Your rights and choices
Under Indian law — the Information Technology Act, 2000, the IT (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and the Digital Personal Data Protection Act, 2023 — you have the following rights. We honour them free of charge.
Access your information — Ask for a copy of the personal information we hold about you. Most of it is also visible in your app profile.
Correct your information — Update your details or documents in the app, or ask us to fix anything wrong or out of date.
Withdraw your consent — You can withdraw consent for any optional use of your data at any time, such as marketing or location access. This does not affect anything we did before you withdrew it. Some information (like your driving licence) is essential to rent a vehicle; if you withdraw consent for that, we cannot complete your booking.
Delete your account and data — Request deletion through the app, our User Data Deletion page (www.hirenride.com/user-data-deletion) or by email. We will delete your information unless we must keep some of it for legal, tax, insurance or dispute-resolution reasons (see Section 7).
Opt out of marketing — Tap “unsubscribe” in any email, reply STOP to SMS, or change notification settings in the app. We will still send essential booking and account messages.
Control location and cookies — Turn off location access in your phone settings and manage cookies in your browser (see Section 6). Some features will not work without them.
Raise a complaint — Contact our Grievance Officer (Section 9). We aim to acknowledge complaints within 24 hours and resolve them within the timelines set by law.
To exercise any right, email support@hirenride.com from the email address linked to your account. We may ask you to confirm your identity first.
6. Cookies and similar tools
Cookies are small text files stored on your device when you visit a website. We use them, along with pixels and mobile app identifiers, for:
- Essential cookies: Keep you logged in, remember your search (location, dates, vehicle) and keep checkout working. The site cannot function without these.
- Analytics cookies: Help us understand how visitors use the site so we can improve it. We use Google Tag Manager and Google Analytics. This data is aggregated and does not identify you personally.
- Advertising cookies: Measure whether our ads work and show you relevant Hire N Ride offers on other platforms. You can opt out of these.
You can control cookies in your browser settings. Blocking essential cookies may stop parts of the website from working. In our app, you can limit ad tracking through your phone’s privacy settings.
7. How long we keep your information
- Account details: While your account is active, plus a short period after deletion to handle pending disputes or refunds.
- KYC documents: For the life of your account and as required by law afterwards.
- Booking and payment records: At least 8 years, to comply with tax and accounting laws.
- Vehicle location data: Deleted or anonymised within a reasonable period after the rental ends, unless needed for an accident, theft or dispute investigation.
- Support conversations: Up to 3 years, so we can refer back if an issue comes up again.
- Analytics data: Kept only in aggregated, non-identifiable form.
When information is no longer needed, we delete it securely or anonymise it.
8. A few more things you should know
Age limits — You must be at least 18 to rent a bike or scooty and 21 to rent a car. We do not knowingly collect information from anyone under 18. If you believe a minor has created an account, tell us and we will remove it.
Where your data is stored — On secure servers in India. Some service providers may process data in other countries; when they do, we ensure protection equivalent to Indian law.
